Communication Plan is built to understand who are the primary stakeholders of a project. We live in a geographically expanded world where the customer, team and related resources lives in different time zones. Each of these entities are influenced by different external forces, culture and orientation.It is imperative that we create a baseline document that brings clarity of communication among the stakeholders.
Even for the sake of gathering requirements from these stakeholders it is necessary to build a formal means of communication across all members.The Communication plan will seek to keep relevant users informed on project progress. It greatly helps in resource planning, utilisation, manage project schedules and optimise costs related to a project.
The stakeholders of a project need to understand what are the channels of communication available to the team to work best. It also serves as an enabler to meet customer expectations and clear micromanagement of project related issues. The Comm. plan also defines to the frequency of the communication as well as level of details that will be discussed. Access of information need to be restricted to relevant users and such definitions are made on the communication plan. Internal communication methods are also defined within the group. Finally the Comm plan serves to keep status update of the project well informed to all members of a team.
